Job Description CAET Project Management Consultants, LLC (CAET PMC) is looking for a full-time Office Manager / Administrative Assistant to join our growing company. The right individual will complement our team with their previous administrative experience, professionalism, energy, being a self-starter, and having the ability to learn quickly. Responsibilities include: Provide onsite office presence. Schedule and organize team meetings, continuing education, and conferences. Maintain certifications and supplier registrations. Prioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion. Monitor and maintain the office, at multiple locations. Manage inventory and assignment of computers, cell phones, and other CAET technology and hardware. Internal technology point of contact, including ensuring printers and other office items are in working condition, as well as being able to manage trouble shooting with CAET---s IT support firm. Assists in the preparation of weekly, monthly expense reports. run errands/supplies to and from job sites as needed Answer telephones and direct calls appropriately. Assist with development and documentation of Standard Operating Procedures. Prepares correspondence, maintains files, and completes special projects. Assists with social media monitoring and analytic reports. Coordinate new hire set up and orientation. Additional administrative duties as assigned. Coordinates team building and community service events. Requirements: Minimum 3-6 years of previous administrative experience; exposure to construction management industry is a plus. Strong verbal and written communication skills. Ability to maintain a high degree of confidentiality and integrity. Capable of working independently, as well as collaborating with a team. Strong proficiency in Microsoft Office (Word, Excel, SharePoint, Teams). Able to prioritize, multitask, and meet deadlines in a timely and organized manner. Must have a positive attitude and be able to work in a pace changing environment. Proactive self-starter and team player with dedication to providing the highest level of service and support to internal and external customers. Exceptional organizational skills and attention to details.
